Terms and Conditions

All customers and guests in business with and travel booked (hereinafter known as “Client” or “Customer”) by ISWD (also known as ISWD Events, ISWD Events + Travel, ISWD Travel) — please review this document carefully before confirming any reservation or travel arrangement.

This document covers:

ISWD Terms and Conditions for all travel arrangements including domestic and international travel, cruises, tours, land bookings, and group travel
Specific guidelines and requirements for international travel
Current travel authorization requirements in effect for select destinations

Please note: In Style Weddings and Destinations, LLC dba ISWD Events + Travel acts as a booking intermediary on behalf of independent third-party carriers, hotels, resorts, cruise lines, tour operators, and other suppliers of services. ISWD does not own or operate any of these services. Nothing in this document is intended to interfere with the Customer’s legal rights against any carrier(s) or supplier(s) of services.

ISWD TERMS AND CONDITIONS

1. Pricing and Supplier Changes

The above noted party shall not be responsible for any changes in fares, tours pricing, rates, charges, or prices initiated by the carrier(s) or supplier(s) of services.

2. Cancellations, Changes, and Service Disruptions

Shall not be responsible for any damages resulting from cancellations, changes, or disruptions of any service and/or refunds of monies already paid or transmitted to any carrier(s) or suppliers of services.

3. Carrier and Supplier Liability

Shall not be responsible for any acts or omissions of any carrier(s) or supplier(s) without limitation, including those involving cancellation of flights, schedule changes, re-routings, damage to or delay or loss of baggage, flight delays, equipment failures, accidents, pilot or other staff shortages, over-bookings, or computer errors.

For travel outside of the USA, Immigration Visas CAN BE REQUIRED and is a responsibility of Client, including US Citizens and resident aliens in the USA. Green card holders should review travel guidelines from their embassy. ISWD does not provide immigration or visa advisory services and assumes no liability for denied entry or additional costs arising from documentation deficiencies.

4. Room Blocks and Group Reservations

No rooms are being held for individual booking or groups. Group code will apply to each booking per Invoice. Prices are quote only and not confirmed until payment has been applied to the booking. Single-rate rooms must be requested at time of deposit.

For destination wedding groups: guest deposit deadlines will be specified in the applicable group proposal or wedding contract. If a guest withdraws from a confirmed room block, any attrition fees assessed by the resort or supplier may be passed through to the Client.

5. Payments, Cancellation Fees, and Refunds

All payments paid to ISWD as deposits, travel services fees, package tours, and tour invoices are final and non-refundable. Following any booked and confirmed travel arrangements, any changes and cancellation fees will apply as listed in proposal, per travel arrangement — $75 per person plus supplier fees and/or cancellation fees applies. Any changes and cancellations to confirmed reservations before travel and during travel: $75 per person plus supplier fees and/or cancellation fees applies.

ISWD assumes no responsibility for any transportation arranged independently by the Client — refund rights and carrier disputes for independently booked flights, transfers, or other transport are solely between the Client and the applicable carrier. Where ISWD has facilitated transportation as part of a package or group arrangement, ISWD will make reasonable good-faith efforts to assist the Client in pursuing claims with the carrier, but does not guarantee any refund outcome. Refund rights for international flights are governed by the operating carrier’s own policies; ISWD has no authority to compel compliance by any foreign carrier and bears no financial responsibility for a carrier’s refusal to issue a refund, credit, or accommodation.

6. Travel Insurance

ISWD strongly recommends that all Clients and traveling guests purchase comprehensive travel protection insurance prior to final payment. Coverage types, terms, and exclusions vary by provider and policy — your ISWD advisor can provide information about available options upon request.

If you choose to decline travel insurance, you acknowledge that you are traveling without protection and release ISWD from any claims for losses that travel insurance would otherwise have covered. Declining to purchase adequate travel protection could result in the loss of your travel costs and/or require additional out-of-pocket expenses. ISWD will not be liable for any such losses. Please note that certain destination countries require proof of valid medical insurance as a condition of entry — this is the responsibility of each traveler to verify and obtain.

7. Force Majeure and Unforeseeable Disruptions

Please note that any public location where people have been or are present provides an inherent risk of exposure to illness, injury, or other unforeseen circumstances, and ISWD or any of our suppliers or vendors cannot guarantee that you will not be impacted during your travel. By traveling, you agree that you assume these inherent risks associated with your vacation. ISWD is not liable for any failure or disruption of travel services caused by events beyond ISWD’s or its suppliers’ reasonable control — including pandemics, natural disasters, acts of war or terrorism, civil unrest, government-imposed travel bans, or similar events. In such circumstances, ISWD’s obligations are suspended and any resolution is subject entirely to the policies of the applicable suppliers and carriers. ISWD will act as the Client’s liaison with suppliers on a best-efforts basis but cannot guarantee any specific outcome or recovery of monies paid. Any and all additional costs will be the responsibility of each and all travelers.

8. Health and Safety Requirements

Each country, airline, hotel, tour, and group travel event may require evidence of health documentation prior to arrival, including but not limited to vaccination certificates, testing records, or other health identification as required by governing authority — and these requirements may change from day to day. Please reference the CDC website at wwwnc.cdc.gov/travel for current requirements prior to travel and for USA re-entry requirements after travel, and consult with your doctor prior to departure. ISWD is not responsible for travelers not following requirements imposed by travel suppliers and country governments, nor for penalties or additional costs due to the absence of required health documentation. All costs relating to health tests, vaccinations, and other health requirements are the responsibility of each and all travelers.

9. Travel Documentation and Passport Requirements

Each traveler is solely responsible for ensuring that all travel documentation is valid and meets the requirements of immigration and other government authorities at every destination. For travel outside of the USA, ISWD recommends that passports be valid for a minimum of six (6) months beyond the planned return date, as many countries enforce a six-month validity rule.

Domestic Travel — REAL ID: As of May 7, 2025, all domestic air travelers must present REAL ID-compliant identification to board flights within the United States. Travelers holding a non-compliant state-issued ID must present an acceptable alternate form of identification, such as a valid U.S. passport. Please verify your status at dhs.gov/real-id.

Any fines, penalties, costs, or losses — including missed flights or denied boarding — resulting from a traveler’s failure to carry proper documentation are the sole responsibility of that traveler.

10. New Electronic Travel Authorizations

The international travel authorization landscape has changed significantly in 2025–2026. The following are the responsibility of each traveler to obtain prior to departure — see the Guidelines section below for current links and details.

United Kingdom — ETA — NOW REQUIRED: As of February 25, 2026, all U.S. citizens traveling to or transiting the UK must obtain an Electronic Travel Authorisation (£20) prior to travel. Airlines will deny boarding without one. Apply at gov.uk/apply-electronic-travel-authorisation.

European Union — Entry/Exit System (EES) — NOW ACTIVE: Biometric data collection at Schengen Area borders is now in effect. No separate application is required, but travelers should allow extra time at European entry points.

European Union — ETIAS — Forthcoming (2027 estimated): U.S. passport holders will be required to obtain ETIAS pre-authorization before entering the Schengen Area. No launch date confirmed as of August 2026. Clients are responsible for monitoring and complying upon implementation. travel-europe.europa.eu/etias.

11. Destination Wedding Ceremonies

ISWD facilitates travel and accommodation arrangements for destination weddings but does not provide legal advice on ceremony requirements, marriage law, or the legal recognition of ceremonies performed abroad. Requirements vary significantly by country and may include translated or apostilled documents, licensed officiants, or advance civil registration. Clients are strongly encouraged to consult with a qualified attorney and the relevant country’s consulate regarding the legal validity of their ceremony prior to finalizing plans.

12. Special Requirements

Clients with dietary restrictions, food allergies, accessibility needs, or other special requirements must notify ISWD in writing prior to departure. ISWD will make reasonable efforts to communicate these needs to applicable suppliers but cannot guarantee accommodation.

13. Privacy and Use of Personal Information

In the course of booking travel on the Client’s behalf, ISWD collects and transmits personal information — including full legal names, dates of birth, passport details, and contact information — to airlines, hotels, resorts, and other third-party suppliers as part of the booking process. By engaging ISWD’s services, the Client consents to this collection and transmission. Our full Privacy Policy is published at instyleweddingsanddestinations.com/privacy-policy.

14. Governing Law

This agreement shall be governed by the laws of the State of Texas. Any disputes that cannot be resolved informally will be submitted to mediation, and if unresolved, to binding arbitration in Travis County, Texas.

Customer’s initial retention of tickets, reservations, deposit invoices or bookings after issuance shall constitute a consent by the customer, on their behalf and on the behalf of their traveling group to the above.

Nothing agreed to herein by the customer is meant to interfere with the customer’s legal rights against any carrier(s) or supplier(s) of services.
