Who we are
ISWD Events & Travel is a luxury travel and destination wedding planning agency based in Austin, Texas, serving travelers since 2001. “ISWD Events & Travel” is a trade name of In Style Weddings and Destinations LLC, a Texas limited liability company, which is the entity responsible for your personal information under this policy. Where this policy says “we,” “us,” or “our,” it means In Style Weddings and Destinations LLC.

This policy explains what personal information we collect, why we collect it, who we share it with, and what choices you have. By using our website or our services, you confirm you have read and understood this policy.
Information we collect
Information you give us directly
When you submit a consultation or contact form: your name, email address, phone number, destination interests, travel dates, group size, budget range, and any details you choose to share about your trip or celebration.
When you subscribe to our newsletter: your name, email address, and the travel topics you’re interested in.
When you book travel with us: the information required to make reservations on your behalf. Depending on the trip, this can include your full legal name as shown on your passport, date of birth, gender as recorded on your travel documents, passport number and expiration date, nationality, home address, emergency contact details, frequent traveler and loyalty program numbers, and payment information.
Payment card details are handled differently. When you pay for a group trip through WeTravel, your card and bank details go directly to WeTravel and its payment processors — not to us. We do not see or store your full card number. See “Payments and trip registration through WeTravel” below.
Sensitive details you choose to share: dietary restrictions, allergies, mobility needs, medical conditions relevant to travel, and accessibility requirements. We collect this only when you provide it, and only to arrange appropriate accommodations and services. We share it with suppliers strictly on a need-to-know basis. Where the law requires your consent before we process this kind of information, we will ask for it.
When you communicate with us: the content of emails, text messages, and messages sent through social media, along with notes we make about your preferences and past trips so we can serve you better on future travel.
Information collected automatically
When you visit our website, we and our analytics providers may collect your IP address, browser type, device type, pages viewed, time spent on the site, and the site you arrived from. This is collected through cookies and similar technologies.
Information we receive from others
We may receive information about you from sources other than you directly, including:
- WeTravel, our group trip registration and payment platform, which passes us the registration and booking details of travelers who sign up for our trips
- Travel suppliers and booking platforms, confirming reservations or updating booking details
- Other travelers in your party, when someone books on your behalf
- Referral sources, such as wedding planners, venues, photographers, or past clients who recommend you to us
Information about others that you provide
If you book travel or submit an inquiry on behalf of other travelers — a spouse, family members, a wedding party, or a group — you are giving us their personal information.
By doing so, you confirm that you have their authorization to share their information with us and to act on their behalf in dealings with us and with travel suppliers. You also agree to make them aware of this privacy policy and give them the opportunity to read it. Where applicable law requires their consent for anything we or our suppliers do with their information, you are responsible for obtaining it.
Photographs, video, testimonials, and reviews
We photograph and share images of the celebrations and journeys we plan, and we publish client feedback.
Photos and video. We may want to use images from your wedding, celebration, or trip on our website galleries, social media, marketing materials, or supplier submissions. We will ask for your written permission before doing so. Some images are supplied to us by photographers, venues, or suppliers; where we use those, we rely on their confirmation that appropriate permissions are in place.
Testimonials and reviews. If you give us a testimonial, or leave a public review on Google, WeddingWire, The Knot, or a similar platform, we may republish it on our website and social media along with the name or initials you used. Tell us if you’d prefer it published anonymously or removed, and we’ll take care of it.
Withdrawing permission. You can ask us to stop using your images or testimonial at any time by emailing us. We will remove them from anything we control. We may not be able to retrieve material already published by suppliers, printed in materials already distributed, or reshared by others.
How we use your information

- To research, plan, book, and manage your travel arrangements
- To communicate with you before, during, and after your trip, including urgent travel updates
- To send you our newsletter, if you’ve subscribed
- To process payments and maintain booking records
- To keep records of your preferences for future travel

- To meet legal, tax, and regulatory obligations
- To improve our website and services
We do not sell your personal information. We do not rent or trade our client or subscriber lists, and we do not share your information with data brokers or list-exchange cooperatives.

Where we rely on consent, you may withdraw it at any time. Withdrawal applies going forward and does not affect processing that already happened.
Who we share your information with
Travel cannot be arranged without sharing your details with the businesses providing it. When you book with us, we share what’s necessary with:
- Travel suppliers — airlines, hotels, resorts, cruise lines, tour operators, ground transportation providers, destination management companies, and venues
- WeTravel, our group trip registration and payment platform — see the dedicated section below
- Travel insurance providers, when you request coverage
- Government and border authorities, where required for travel — including advance passenger information, immigration, customs, security, and visa processing. These requirements vary by destination and are outside our control.
Important: Once your information is with a travel supplier, we cannot control or limit how they use it. Suppliers are independent businesses with their own privacy policies, and they may contact you directly to complete your booking, confirm details, or request a review. We encourage you to read the privacy policy of any supplier whose services you purchase through us.
We also use service providers who process information on our behalf:
- Google (Forms, Sheets, Analytics) — inquiry and subscription intake, website analytics
- Microsoft (Microsoft 365) — email correspondence
- Our website host and related services
These providers may use your information only to perform services for us.
Business changes. If In Style Weddings and Destinations LLC is ever sold, merged, restructured, or transferred to new ownership — or in the event of insolvency proceedings — your information may be transferred as part of that transaction. Any successor would be bound by the commitments in this policy or would notify you of a change.
Legal disclosures. We may disclose information where required by law, subpoena, or court order, or where necessary to protect our legal rights, prevent fraud, or protect the safety of any person.
International transfers
Travel is international by nature. Arranging your trip will often require transferring your information to suppliers and authorities in the destination country, which may have different data protection laws than your home country.
We are based in the United States and process your information here. If you contact us from outside the United States — including from the EEA, UK, or Switzerland — your information will be transferred to and stored in the United States, where privacy laws may offer less protection than in your home country. Where required, we rely on appropriate safeguards such as standard contractual clauses, your explicit consent, or the necessity of the transfer to perform our contract with you.
Payments and trip registration through WeTravel
We use WeTravel, Inc. to publish our group trips, take registrations, and collect payments. You may reach WeTravel through a booking widget embedded on our website, through a link we send you, or through a WeTravel-hosted trip page. When you register or pay, you are entering your information on WeTravel’s platform, and WeTravel’s own privacy policy applies to that activity alongside this one. You can read it at wetravel.com/privacy.
Who is responsible for your information
This distinction matters, because it tells you who to contact.
For trips we organize, WeTravel handles your information on our behalf. We decide what the registration form asks and what happens with your booking, which makes ISWD Events & Travel the party responsible for your registration information.
So requests about your trip registration — access, correction, deletion, or any question about how your information is used — should come to us at info@iswdeventstravel.com. WeTravel will generally direct you back to us for these.
WeTravel is separately responsible for information you give them for a WeTravel account of your own, and for how their own website and marketing operate.
Your payment card details
We never see or store your full payment card information. WeTravel states that it does not keep card numbers, bank account details, passwords, or similar sensitive data on its own servers, and instead transmits them directly to its payment processors, which currently include Stripe and Airwallex. WeTravel also states that a traveler’s full payment information is never shared with the trip organizer — meaning us. WeTravel reports that it maintains PCI-DSS and SOC 2 compliance.
What WeTravel shares with us
When you book one of our trips, WeTravel provides us the details we need to run it, including your full name, email address, phone number, and your registration and payment status. We use this exactly as described elsewhere in this policy.
Publicly listed trips
Trips we publish through WeTravel may be displayed publicly on WeTravel’s platform, on our website through an embedded widget, and on other websites that display WeTravel trips. This applies to the trip itself — its description, dates, and destination — not to the identity of the people registered for it.
WeTravel’s own website and cookies
WeTravel’s website uses its own cookies, analytics, and advertising trackers, separate from ours, and their policy acknowledges that some of this sharing may be considered a “sale” of personal information under California law. Those settings are controlled on WeTravel’s side, not ours, and you can manage them through the cookie controls on their site.
Contacting WeTravel directly
For anything relating to a WeTravel account of your own, or to WeTravel’s own use of your information, you can reach them at info@wetravel.com, through the data request form linked from their privacy policy, or by writing to their Privacy Officer at WeTravel Inc., 101 Mission Street, Suite #1115, San Francisco, CA 94105.
Email, text messages, and marketing
Email. We send our newsletter only to people who signed up for it or have worked with us. Every marketing email includes a way to unsubscribe. You can also email info@iswdeventstravel.com at any time and ask to be removed, and we’ll act on it promptly. Once you unsubscribe, we keep a record of your email address for the sole purpose of making sure we don’t contact you again.
Trip emails sent through WeTravel. Registration confirmations, payment reminders, and trip logistics for group trips may be sent through the WeTravel platform on our behalf. These are necessary messages about a booking you’ve made, not marketing.
Text messages. We may text you about an active booking or trip. If we ever send promotional text messages, we will obtain your express written consent first, and you can stop them by replying STOP. Message and data rates may apply. We do not share or sell mobile numbers or text-message consent to anyone for their own marketing.
Essential communications continue. Unsubscribing from marketing does not stop necessary messages about a trip you’ve booked — schedule changes, supplier updates, or urgent travel notices.
Cookies, analytics, and tracking signals
Our website uses cookies to keep the site functioning, remember preferences, and understand how visitors use it. We use Google Analytics to collect aggregate statistics about site traffic.
Embedded content. Some pages on our site display content from other services, including the WeTravel booking widget and social media feeds. These embeds may set their own cookies and are governed by the privacy policies of the companies that provide them.
You can control or disable cookies through your browser settings. Some parts of the site may not work properly if you disable them. You can opt out of Google Analytics using Google’s browser add-on.
Global Privacy Control. Where technically supported, we honor the Global Privacy Control (GPC) signal. We do not currently respond to browser “Do Not Track” signals, as there is no common industry standard for them.
How long we keep your information
- Inquiries that don’t lead to a booking: up to 3 years
- Booking and client records: at least 7 years after travel, for tax, accounting, insurance, and dispute purposes
- Newsletter subscribers: until you unsubscribe
- Unsubscribe and opt-out records: kept indefinitely, so we can continue to honor your request
- Consent records for marketing and photo use: kept as long as required by applicable law
- Photographs used in marketing: until you withdraw permission or we retire the material
Records held by our platforms. Information stored on WeTravel’s platform, and with our travel suppliers, is subject to their own retention schedules, which we do not control. Ask us and we will tell you what we hold and point you to the right place for the rest.
Your choices and rights
We extend the following rights to all of our clients and subscribers, regardless of where you live, even where the law may not require it:

To make a request, email info@iswdeventstravel.com. We’ll respond within a reasonable time, and in any event within the timeframe required by applicable law. This includes information you gave us through a WeTravel trip registration — come to us first, and we will handle it.
Verification. To protect your information, we may need to confirm your identity before acting on a request. We may ask for details we can match against our records, and we use anything you provide for verification only.
Authorized agents. You may appoint someone to make a request on your behalf. We’ll need written authorization from you and may still verify your identity directly.
If you’re in the EEA or UK, you also have the right to object to certain processing and to lodge a complaint with your local data protection authority.
If you’re in Canada, we obtain your consent before sending commercial electronic messages and honor withdrawal of consent promptly.
Security
We use reasonable administrative and technical measures to protect your information, including access controls on our systems and encrypted connections on our website. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Payments are handled by specialists, not by us. Group trip payments run through WeTravel and its payment processors, which are built and audited for that purpose. We do not hold your card details.
Please don’t send passport numbers, dates of birth, or payment details by unencrypted email or through our website forms. We’ll tell you the secure way to provide them when they’re needed.
If a breach occurs that affects your personal information, we will notify you and the relevant authorities as required by applicable law.
Children’s privacy
Our website and services are directed to adults. We don’t knowingly collect personal information from children under 13. When children travel as part of a family or group booking, we collect their details only from the adult making the arrangements. If you believe we’ve collected a child’s information inappropriately, contact us and we’ll delete it.
Note that our booking platform, WeTravel, requires anyone registering an account to be at least 18, and accepts information about minors only when it is provided by a parent or legal guardian.
Third-party websites
Our site links to and embeds content from other websites, including WeTravel, travel suppliers, booking platforms, and social media. We’re not responsible for their privacy practices or content. Please review their policies before providing information to them.
Changes to this policy
We may update this policy from time to time. The current version will always be posted on this page with an updated “Last updated” date. If we make a material change to how we use your information, we will notify you by email where we have your address.
